Title of Post: School Receptionist & Administrator
Salary: £16 - £18 per hour
Start Date: September 2024 - Full time, ongoing role

Responsible to: Heads PA/Office Manager
GENERAL PURPOSE OF THE JOB
You will be based in the main school reception where you will be working as part of the school office team to share responsibility for school office duties, whole school reprographics and providing an efficient, friendly and welcoming service to all visitors to the school and to deal with any queries as a point of contact at Student Services, which will include being a member of the First Aid team.
Please note you must have an Enhanced DBS to apply for this role.
School Office Duties
- To sort incoming post and distribute to the staff room on a daily basis.
- To frank out-going post.
- To shred general and confidential papers when necessary.
- Update staff pigeon holes and door name plates as and when required.
- To be responsible for all school and student filing.
- To provide the school with an efficient and effective reception and Student Services Team.
- To be responsible for incoming phone calls to the school, ensuring that calls are answered promptly and courteously and that they are either transferred to the appropriate member of staff or details of the call are emailed, whilst maintaining confidentiality at all times.
- To check answer phone messages, first thing in the morning and throughout the day and forward as necessary.
- To greet visitors to the school professionally and to sign them in and out as necessary, issue identity badges so that they can be clearly identified whilst in school, in line with school safeguarding policies and procedures.
- To be a point of contact for students, to answer their questions and to assist them or direct them to someone who can help them.
- After training, to update student records on the school MIS system.
- Arrange parental contact messages via school system text and email to support the work of the school, such as detentions, revision sessions and any other relevant communications required by teachers.
- General duties as required by your Line Manager.
- To become familiar with the differing roles of other members of the School Office Team in case of absence.
- To evaluate and improve your own practice, which may lead to improvements in the day-today running of the school and to take responsibility for personal professional development.
- To maintain professional portfolio of evidence to support the Performance Management process.
- To be committed to safeguarding and promoting the welfare of children and young people and follow the safeguarding policy.
